We keep the personal information we request from customers to a minimum. Depending on the service you use, we may collect:
- Your name.
- Your postal or business address.
- Your telephone number.
- Your email address.
We may also retain communications you send to us where necessary to deal with an enquiry, support request or to provide an agreed service.
Our website, hosting platform and security systems may automatically create basic technical records such as IP addresses, login activity and server access logs. These records are used for security, troubleshooting and the operation of our services.
Please do not send us information that is not necessary for the service you require.

We may use your personal information to:
- Respond to enquiries.
- Prepare quotations and discuss proposed work.
- Set up and manage your customer account.
- Provide website design, hosting and support services.
- Contact you about your website, hosting, domain or other services.
- Deal with support and website-change requests.
- Provide renewal information and service reminders.
- Maintain the security and operation of our systems.

We only use personal information where we have a lawful reason to do so. Depending on the circumstances, this may include providing or preparing to provide a contract, complying with a legal obligation, or pursuing legitimate business interests such as operating, supporting and securing our services.
Payments
Payments are processed using SumUp.
EMENYS LTD does not collect, receive or store your full debit card, credit card or bank payment details. Payment information required to process a transaction is handled by SumUp through its own payment systems.
You should refer to SumUp’s own privacy information for details about how SumUp processes payment information.
Please never send payment-card details to us by email, through a support message, through the Customer Portal or in an attachment.
Customer websites and hosted content
Customers are responsible for the websites, information, files, images, databases and other material they ask us to host, publish or maintain on their behalf.
The customer is responsible for ensuring that material placed on their website is lawful, that they have the necessary rights and permissions to use it, and that their website complies with any privacy, cookie, consumer, copyright and other legal requirements that apply to their organisation or activities.
Where a customer’s website collects personal information from its own visitors, customers or members, the customer will normally determine why that information is collected and how it is used.
In those circumstances, the customer will normally be the data controller for that information and Emenys may act as a data processor where we process or store that information on the customer’s behalf as part of our hosting or support services.
Hosting a customer’s website does not make Emenys the owner of, or responsible for determining the purpose of, information the customer chooses to collect through that website.
Customers must not knowingly use our services to host, publish or distribute unlawful, fraudulent, malicious or infringing material.
We may take reasonable action, including restricting access to material or services, where necessary to protect our systems, comply with the law, respond to a valid legal requirement or deal with serious misuse of our services.
Nothing in this section removes any legal responsibilities that apply directly to EMENYS LTD as a hosting provider or data processor.
Customer responsibilities for privacy
If your website collects personal information, you are responsible for deciding what information you collect, why you collect it and how long you keep it, unless we have specifically agreed otherwise in writing.
You are also responsible for providing your website users with appropriate privacy information and obtaining any consent that may be required for cookies, analytics, marketing or other technologies used on your website.
We can provide technical assistance with your website, but responsibility for deciding what personal information your business needs to collect remains with you.
Customer Portal
Where provided, the Emenys Customer Portal allows authorised customers to access account information, communicate with us and submit support or website-change requests.
You are responsible for keeping your login details secure and should notify us promptly if you believe your account has been accessed without permission.
Please do not include passwords, payment-card details or unnecessary sensitive personal information in portal messages or attachments.
Website statistics and analytics
Where analytics or website statistics are provided to a customer, they may include aggregated information such as visitor numbers, page views and popular pages.
The use of analytics on an individual customer website depends on that website’s configuration.
Where a customer asks us to install or configure analytics on their website, the customer remains responsible for ensuring that appropriate privacy and cookie information is provided to their visitors and that any required consent mechanism is in place.
Cookies
Our websites and Customer Portal may use cookies that are necessary for functions such as security, login sessions and remembering essential settings.
Other cookies may be used where additional services or analytics have been configured.
Where consent is legally required for non-essential cookies, those cookies should not be used until the appropriate choice has been made by the visitor.
Individual customer websites may use different cookies depending on the software, plugins and services selected by that customer.
Who we share information with
We do not sell your personal information.
We may use trusted service providers where necessary to operate our business and provide our services. These may include providers involved in:
- Website and server hosting.
- Domain registration.
- Email delivery.
- Website software and security.
- Analytics.
- Payment processing, including SumUp.
Information may also be disclosed where we are legally required to do so, or where reasonably necessary to establish, exercise or defend legal rights.
We aim to limit information shared with service providers to what is necessary for the relevant service.
Keeping information secure
We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.
These measures may include account controls, restricted administrative access, server security, backups and appropriate technical security measures.
No website, internet connection or electronic storage system can be guaranteed to be completely secure.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and for any legal, accounting, contractual or security requirements that apply.
Customer information may therefore be retained while you remain a customer and for an appropriate period afterwards where records are required for business administration, accounting, resolving disputes or legal obligations.
Information that is no longer reasonably required will be deleted, anonymised or securely disposed of where appropriate.
Your data protection rights
Depending on the circumstances, UK data protection law may give you rights relating to your personal information, including the right to:
